Switch to CaseCore

Move your PI agency data into CaseCore with a guided switch.

CaseCore Switch Center is built for agencies moving away from outdated software, spreadsheets, Dropbox or shared folders, and email-based case management. Use approved connections where available, upload guided exports where safer, preserve old case numbers, and use guided review to prepare data before import.

01

Authorize

Start with a written migration request that confirms the agency owns or controls the records, names the old system, and identifies what must move.

02

Connect or export

Use an approved connection when one exists, like QuickBooks Online or a customer-authorized export path, or follow a guided export from CROSSTrax, TrackOps, spreadsheets, folders, or other systems. CaseCore does not need old-system passwords.

03

Review

Switch Center previews the file, detects familiar columns, and flags likely mappings, missing fields, and review items before import.

04

Import

CaseCore imports clients and cases, preserves old case numbers when available, and keeps skipped rows visible for review.

05

Organize

The agency uploads supporting evidence, documents, forms, and notes into the new CaseCore case workspace.

06

Launch

Use the setup checklist to confirm agency identity, create the first case, lock down access, review billing privacy, and choose the right support path.

Large agency migration

Move the agency without making the agency stop.

Bigger agencies should not have to rebuild years of work by hand. CaseCore can stage a controlled migration path so agency leaders know what is moving, the team can keep working, and legacy files are tracked without forcing a risky all-at-once upload.

Authorization first

CaseCore documents what the agency owns, who approved the move, and which migration path is allowed before touching records.

Inventory first

CaseCore builds a migration inventory before records are committed, so agency leaders can see matched cases, staged files, duplicate risks, and anything that needs review.

Move in phases

Active cases, clients, notes, billing, and assignments can move first. Historical files can be staged behind the scenes without stopping daily work.

Verify before launch

Agency leaders review a migration summary before go-live, including imported records, skipped rows, unmatched files, and items that need attention.

Keep working

Once the workspace is ready, the team can continue from CaseCore with old case numbers, client context, billing history, and legacy file references preserved.

Authorized migration service

A guided move without sharing old-system passwords.

CaseCore can help agencies move from prior systems through approved connections, guided exports, customer-run file packages, or support-assisted migration sessions. The goal is simple: the agency walks into CaseCore with active work, client context, old case numbers, billing history, notes, forms, and evidence plans ready to use.

CaseCore does not ask customers to give us old-system passwords, bypass access controls, or pull data the agency is not authorized to export.

Approved connection

When a provider supports an approved connection or customer-owned export access, the agency approves the move and CaseCore stages only the records allowed for that workspace before import.

Guided export

When a direct connection is not available, CaseCore gives the agency a clean export checklist and maps the customer-provided files into cases, clients, billing, notes, forms, and evidence file lists.

Local file package

For large file stores, a customer-run package can inventory folders, identify files, and create review lists so CaseCore can stage evidence without breaking the original media.

Support-assisted session

For guided moves, the customer controls their old account during a screen-share or export session while CaseCore helps validate the package and import plan.

Guided migration review

Clean the move before records go live.

CaseCore can review imported file samples, spot unclear columns, identify missing fields, and suggest review steps before records are created. It does not log into old systems, bypass export controls, or replace agency review.

Map older-system export columns into CaseCore fields
Flag missing client, case, status, and jurisdiction data
Find duplicate case-number risks before import
Suggest review steps before the agency commits records
Summarize old notes once records are inside CaseCore
Help organize evidence packages by imported case

Migration coverage

Switch Center is built for the parts agencies actually need moved.

CaseCore does not just accept a list of names. Agencies can stage the operational pieces that make a switch practical: cases, clients, team roles, evidence planning, and service templates.

Clients and active or historical case records
Team and contractor invites
Evidence file review before large file upload
Service, affidavit, intake, and agency form templates
Old case numbers and source-system labels
Import history for agency review

Credential-safe migration

Switching should not mean risky credential sharing.

Agencies control the authorization, export, upload, preview, and final approval. CaseCore keeps migration focused on agency-owned records, approved provider access where available, and investigator-reviewed data before launch.
